Microsoft OneNote 2016 now brings with it the ability to archive email messages with just one click or keyboard press. Located on the Delete group of the Home Ribbon, the Archive icon allows you to move selected messages to a designated Archive folder.
Archiving messages - as opposed to deleting them - keeps them Outlook (also accessible from your phone or tablet), so they are readily available should you ever have need to refer to them in the future. Additionally, archived message are searchable so you’ll be able to quickly find them using Outlook's search feature.
The first time you click the Archive icon (if you haven’t already set up an Archive folder), you'll receive a prompt to either choose an existing folder as your Archive folder or to create a new folder. If you’ve already created/set up an Archive folder on Outlook.com, the desktop application will use that same folder.
To Archive a message
- Select the message(s) that you want to archive.
- Click the Archive icon on the Delete group of the Home Ribbon. The message(s) will be moved to your designated Archive folder.
Press the Backspace key
Right-click a message or selected messages and choose Archive from the contextual menu.
- If prompted, click Create Archive Folder to create a new folder. Outlook will automatically create a new folder called Archive. If you prefer to use an already existing folder, click Use Existing Folder and then choose the folder you want to use.
